We have substantially upgraded maintenance reports in OLIFY with new features: fully configurable data views, reports, Excel and PDF exports, dashboard widgets, and scheduled email summaries!

How many hours a month do you spend turning maintenance data into a report for management? Download it, paste it into Excel, calculate, format – and do it all again next month. The new data views feature brings you a solution. You set up reports yourself exactly the way you need them and get data from the app in precisely the form you require.
Data views: a custom report in minutes
Data views now let anyone easily create any report that delivers data from the OLIFY app exactly in the form you need. Flexibly, tailored to your company's needs – statistics, KPIs over time, charts, overview tables, aggregations, and grouping by any attributes – anything you can think of. No spreadsheet software and no waiting for IT.
You pick a data source (requests, inspections, work logs, assets...), choose a grouping (for example by technician, building, asset, asset type, or even extension attributes) and an aggregation (count, sum, average, minimum, maximum...) over any attribute. You can refine views further with filters and by limiting them to a specific period.
You see the result instantly as both a table and a chart. Name and save a finished configuration, so you can return to it with a single click anytime. Need a variant? Simply duplicate the view and adjust it without losing the original.
A report that used to be very hard to prepare is ready in a few minutes – and next time you just open it.
Track trends over time
For each view you can turn on tracking over time and pick a time grouping from minutes all the way to years. Instead of a static number, you see how the metric develops: you uncover recurring failures of a specific asset, delays in preventive inspections, or seasonal peaks in technician workload. These are exactly the patterns that get lost in a static Excel sheet.

Charts you understand at a glance
Display data as bars, horizontal bars, stacked bars, or a pie chart – switch between types with a single click. Adjust the color palette, labels, and limit results to, say, just the TOP 10 most failure-prone assets. Whatever you are not interested in right now you switch off directly in the legend, and the chart recalculates only for the values you prefer.
Dashboard and summary numbers
You pin the most important metrics straight onto your home dashboard as widgets. A summary metric works great too – a single number for a quick overview, for example the number of assets in a given building that have an overdue inspection. Right after logging in you know what needs attention.
Reports and sharing across the team
You combine multiple data views into a single report and get a comprehensive overview in one place. You can share the report and individual views with colleagues or entire teams and export them to Excel or PDF.
The data display always respects each user's permissions and location. A technician with access to a single location sees only that location's data in a shared view. So one report safely serves the whole company without you having to worry about who sees what.
Email summaries: the report arrives on its own
You don't have to send the chosen report to anyone manually. An email summary sends it automatically – daily, weekly, or monthly, on the day and time you choose. The attachment can be an Excel or PDF export, or the tables can be shown directly in the body of the email. Management and technicians alike always have current numbers in their inbox without having to log in to the app.

What you can use reporting for
The possibilities are practically unlimited, but the most common include:
- Asset failure rate – identify the most failure-prone assets and locations and decide where to strengthen preventive maintenance. This helps customers discover that, for example, a full 20% of assets account for more than half of all repairs.
- MTTR (mean time to repair) – compare team performance and support SLA compliance. Making bottlenecks visible can cut the average repair time by as much as 25%.
- Preventive inspection compliance – stay on top of regulatory compliance and reduce the risk of penalties. A regular overview helps bring the share of overdue inspections from tens of percent down to single digits.
- Technician workload – plan capacity according to real load and balance work across the team.
- Maintenance costs – track costs by asset, location, and period as a basis for budgets and investments.
- Asset life cycle – evaluate the age of your assets and its impact on failure rates and plan replacements before an unplanned outage occurs.
